resourceful and efficient Senior Executive Assistant
responsible for proactively managing
the schedules
communications and work activities of the MD/CR
whilst providing excellent administrative
support. Experienced in streamlining processes
managing calendars
organising events and drafting and
preparing company reports and documentation to seamlessly support the work and success of the MD/CR.
Work in close partnership with the MD/CR in order to undertake key work activities on behalf of the
MD/CR and to develop the knowledge and acumen to make decisions and identify solutions in the absence
of the MD/CR.
Main Responsibilities:
1. Provide a comprehensive and fully confidential EA service to the MD/CR.
2. Act as first point of contact for MD /CR’s emails
correspondence and phone calls
answering and
responding appropriately
where possible.
3. Keep outlook emails monitored
updated
prioritised and relevant for the MD/CR
responding to
and take action as appropriate (seeking the right information to formulate the necessary
responses).
4. Organise travel arrangements and room bookings as required.
5. Work closely with the MD/CR
and key internal and external stakeholders.
6. Prepare corporate and project documents
as requested by MD/CR and/or identified by you in
readiness for MS/CR meetings.
7. Draft
review and send communications on behalf of MD/CR.
8. Prepare dynamic visual displays for the MD/CR using PowerPoints and/or InDesign.
9. Manage the MD/CR’s calendars effectively
allowing travel time and focused work time.
10. Liaise with clients on behalf of MD/CR.
11. Organise events and conferences.
12. Prepare agenda and minute all key introductory and Sales meetings that involve Client Relation up
to handover to the Project Coordinator at Business Development Stage 4 (Go/No Go); cascade all
minutes
actions and associated documents to all relevant internal and external stakeholders.
13. Liaise with Project Coordinator
to progress workload
where people resources are required
and
the project has not progressed to Business Development Stage 4 (Go/No Go).
