Job Summary

Position Overview


The Contracts Operations Specialist supports the administration, drafting, tracking, and coordination of client, subcontractor, vendor, and teaming agreements across the business. This role is responsible for conducting initial contract pre-reviews, preparing standard agreements and change orders using approved templates, maintaining contract records and status tracking, and coordinating agreements through internal and external review processes.


This role serves as an operational and administrative partner to leadership by helping ensure contracts move efficiently through the contracting lifecycle while maintaining organization, consistency, and visibility across active agreements.


The ideal candidate is highly organized, detail-oriented, process-oriented, and comfortable managing multiple agreements simultaneously in a fast-paced consulting and professional services environment.


Key Responsibilities


Contract Coordination & Administration


  • Conduct initial pre-reviews of contracts, NDAs, SOWs, subcontract agreements, vendor agreements, and change orders to identify key business terms, inconsistencies, missing information, and potential risk areas for escalation.
  • Draft Statements of Work (SOWs), change orders, amendments, teaming agreements, and other standard contractual documents using approved templates and prior client agreements.
  • Support contract routing, execution, signature collection, and final document management processes.
  • Coordinate with internal stakeholders including sales, delivery, finance, recruiting, operations, and leadership to gather required information for agreements.


Contract Tracking & Workflow Management


  • Maintain centralized tracking of all contracts and agreements throughout the lifecycle, including statuses such as:
  • <li class="ql-indent-1">Drafting<li class="ql-indent-1">Internal Review<li class="ql-indent-1">Client Review<li class="ql-indent-1">Procurement Review<li class="ql-indent-1">Awaiting Signature<li class="ql-indent-1">Fully Executed<li class="ql-indent-1">Expiring/Renewal Pending


  • Maintain organized contract repositories, naming conventions, and version control.
  • Monitor contract milestones, expiration dates, renewals, and outstanding action items.
  • Provide regular reporting and visibility into contract pipeline and status.


Process & Documentation Support

  • Maintain and organize approved templates, clause libraries, prior agreements, and supporting documentation.
  • Support continuous improvement of contracting workflows, intake processes, and approval procedures.
  • Assist with maintaining contract-related documentation required for audits, compliance, and operational reviews.


Escalation & Risk Awareness

  • Escalate non-standard contractual language, legal concerns, unusual risk provisions, or business issues to leadership for review.
  • Help identify missing information, inconsistencies, or operational concerns before agreements move to final review.


Qualifications

Required

  • 3+ years of experience in contracts administration, legal operations, proposal coordination, procurement support, project coordination, or related operational roles for us-based companies.
  • Strong organizational and document management skills.
  • Exceptional attention to detail and follow-through.
  • Strong written communication and professional formatting skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Experience working with Microsoft Office, Adobe, DocuSign, SharePoint, or similar tools.


Preferred

  • Experience supporting professional services, consulting, staffing, or government contracting environments.
  • Familiarity with Statements of Work (SOWs), change orders, subcontract agreements, and NDAs.
  • Exposure to contract lifecycle management or procurement workflows.
  • Experience maintaining trackers, workflow dashboards, or operational reporting.
