Job Summary

KL Talent Solutions is seeking a Transport Coordinator to join the team for one of our clients. The successful candidate will support the Transport Manager in the day-to-day management of the Transport Department, ensuring an efficient operation that meets business targets. This role involves working closely with drivers, the Transport Planner/Fleet Coordinator, and the transport office to ensure deliveries are on time, every time, while maintaining excellent customer service standards.


Key Responsibilities: 

Loading and Delivery

  • Communicate effectively with drivers and customers regarding any delivery issues.
  • Monitor driver progress and locations to ensure delivery schedules are followed; contact customers proactively if deliveries cannot be made on schedule and escalate to the Transport Manager as needed.
  • Scan and store all delivery notes for accountability.
  • Produce and supply collection notes for customers requesting collections from site.


Administration

  • Lead the Transport Team in responding to telephone calls, monitoring the transport email inbox, and managing the driver WhatsApp group, ensuring all communications are addressed or allocated appropriately.
  • Support the Transport Planner with route planning and cover this task during their absence.
  • Ensure all information on the CRM system (Emax) is accurate and up to date.
  • Monitor driver progress, anticipate delays, and proactively communicate with customers and relevant departments.
  • Book driver accommodation for overnight stays and use driver location data to cross-check delivery schedules.
  • Communicate proactively with customers regarding any missing or damaged deliveries.
  • Oversee the damaged glass reporting process by monitoring driver communications and reporting incidents to Customer Service.


HSE & Training

  • Ensure all work conducted by the delivery team follows Health, Safety, and Environmental (HSE) best practices.
  • Undertake any required training as directed by the Transport Manager (e.g., First Aid, IOSH).
  • Adhere to all Health and Safety policies as outlined in the Company Handbook.


Quality & Continuous Improvement

  • Prepare daily and weekly operational reports for the Transport Manager and team, sourcing and presenting relevant data clearly and promptly.
  • Collaborate with the Transport Manager to develop, implement, and share new processes for continuous improvement, optimising results and delivery quality.
  • Participate in team meetings (safety, problem-solving) and lead the 8am Transport Meeting segments on Customer Service and Driver Progress.
  • Assist the Transport Manager in investigating PCNs, incidents, and traffic accidents using transport systems, trackers, and vehicle CCTV, reporting findings for insurance, compliance, and training purposes.
  • Perform any additional duties as assigned by the Transport Manager.
